Job Title: Executive Coordinator

Job Position: Part-Time/ 16 hours per week in office

Reports To: President & CEO

Organizational Summary
MindsEye strives to build a more inclusive community by translating vision into audio for individuals who are blind or have low vision. We are committed to innovating accessible services to meet the evolving needs of our community.

You Will:

•      Manage office operations, including inventory and ordering office supplies.

•      Keep records organized, including digitizing paper records, maintaining the Shared Drives, and uploading copies of receipts.

•      Assist in preparing monthly reports.

•      Answer phone calls and direct callers to the appropriate person.

•      Interact and assist Broadcast Volunteers

•      Organize meetings, including scheduling, taking notes, and order catering when necessary.

•      Administer data input and extraction of the fundraising database.

•      Steward donors by accurately and efficiently thanking by writing, printing, and mailing tax receipts.

•      Write, edit and prepare letters, emails, invoices, etc.

•      Adhere to the ethical standards of MindsEye and those of the fundraising profession.

•      Implement duties to achieve comprehensive fundraising plan including annual, capital, and planned giving components.

•      Coordinate and maintain calendars, appointments, and communications.

•      Manage phones, mail, email, and deliveries.

•      Prepare meeting materials and minutes and distribute to Board of Directors, committees or other meeting attendees.

•      Act as the point person for IT, maintenance, and other vendors and act as a liaison to resolve issues.

•      Occasionally be available for evening and weekend events

•      Other duties and projects as assigned by MindsEye Leadership Team.

Skills and experience required:

•      Experience working with people from diverse backgrounds.

•      Experience with tracking expenses and compiling reports.

•      Proficiency in Microsoft Office.

•      Comfort working in a small but growing non-profit.

•      Strong commitment to the mission and values of MindsEye Radio.

•      Comfort interacting with a diverse group of staff, board members, clients and community partners by e-mail, telephone, and in-person.

•      Outstanding organizational, analytical, communication and interpersonal skills.

•      The ability to handle multiple priorities and diverse tasks, including attention to detail.

•      Experience in Executive Level support activities, including customer service and administrative practices and processes.

•      Sound judgement, initiative and discretion.

•      A high school diploma or higher.
